Batch processing of annual leave is facilitated in BrightPay in a number of ways:

 

• users can record a number of separate annual leave dates for the same employee at the same time
   
• users can record a single annual leave date for multiple employees at the same time
   
• users can also record a number of separate annual leave dates for multiple employees at the same time

a) To record a number of separate annual leave dates for the same employee at the same time

 

1. Click 'Employees' and select the required employee from the listing
    
2. Select 'Calendar' on the menu toolbar to display the employee's calendar on screen
    
3. Hold down the Ctrl key on your keyboard, and whilst doing so, click on each of the leave dates you wish to record as annual leave on the employee's calendar
    
4. Select 'Annual Leave' on the right hand side of the calendar
    
5. All the selected leave dates will now be recorded on the employee's calendar as annual leave

b) To record a single annual leave date for multiple employees at the same time

1. Click 'Employees' and select a relevant employee from the listing
    
2. Select 'Calendar' on the menu toolbar to display the chosen employee's calendar on screen
    
3. Select the leave date you wish to record as annual leave
    
4. Next, click the drop down arrow on 'Annual Leave' on the right hand side of the calendar, followed by 'Set for Multiple Employees...'
    
5. Select the employees for whom you wish to record the same annual leave date and click 'OK'
    
6. The selected leave date will now be recorded on each applicable employee's calendar as annual leave

c) To record a number of annual leave dates for multiple employees at the same time

1. Click 'Employees' and select a relevant employee from the listing
    
2. Select 'Calendar' on the menu toolbar to display the chosen employee's calendar on screen
    
3. Hold down the Ctrl key on your keyboard, and whilst doing so, click on each of the leave dates you wish to record as annual leave on the calendar
    
4. Next, click the drop down arrow on 'Annual Leave' on the right hand side of the calendar, followed by 'Set for Multiple Employees...'
    
5. Select the employees for whom you wish to record the same annual leave dates and click 'OK'
    
6. The selected leave dates will now be recorded on each applicable employee's calendar as annual leave

Unsetting annual leave dates for multiple employees

 

• Should you wish to unset an annual leave date (or dates) that have been assigned to multiple employees, simply follow the instructions for either b) or c) above, depending on your requirements, but instead select 'Unset for Multiple Employees...'  at Step 4.
